How to Autocreate Parent Portal Accounts

This tool on Parent Access>Setup>Users>Auto Create will create parent user accounts.


The auto create tool will now search for existing parent user accounts by their relationship type.

This will help prevent duplicate parent user account creations in cases where a guardian contact's email is different than their parent user account's logonid.

For example, if the tool is attempting to create an account for a student's Guardian 1 contact, it will first check if there is already a parent user for this student with a relationship type of 'GUARDIAN1'.

If it finds such a parent user, it will not create a new parent user account and will log the event.

 

This tool will create parent user accounts. This is done by looking at each student in a selection, inspecting each of their guardian contacts, and seeing if the guardian's primary email address is used as the logonid of a parent user guardian account.

If it is not, it will create a parent user account for that guardian.

An email can be sent to each created parent user by selecting an Email Template.

This tool will also create missing parent student records; attaching students to existing Parent Accounts.

You can also run this in a "Simulation Mode" and then review the log to see what the tool would update/create.

SIMULATION MODE:  Simulation mode will build a log of what will happen, but will not make any changes. Please note that when using simulation mode, only Parent User account creations will be logged. Parent Student account creations will not be present in the log.


NOTE: Any guardian with a custody issue attached to them will not get a Parent Account created.
