Start of School (Post-Rollover) Checklist and Process Overview

Overview

This article was created to guide administrators in completing the Start of School Checklist, which is given to the district immediately following their rollover each year.

The checklist will list items that are completed by Genesis followed by items the district is responsible for completing.

Post-Rollover / Start of School Checklist


Post Rollover Checklist (To be done by the District)

 Grade Reporting Module / Scheduling Module (Must be done for each school)

  • Mass assign grading collections to course sections. There is a wizard for this on Grading>Setup>Setup Guide.
  • Manually adjust sections that do not follow the mass assignment scheme
  • Review and update courses in the Curriculum File for accuracy of grading data (G.P.A. parameters, Honor Roll Parameters, Grading Flags, etc.)
  • Attach “Skill Groups” and “Core Subjects” to courses in the Curriculum file if using skill based grading system/report cards
  • Review NCES SCED Code information for each course/section and update as needed

 Elementary Grading Module (To be done for each school using Elementary Grading)

  • Update ‘Homeroom’ teachers with the correct grade level and homeroom (Elem Grading>Setup>Teacher Subjects)
  • Update ‘Special Area’ teachers by checking ‘Special’ flag
  • Update ‘Basic Skills’ teachers by checking ‘Basic Skills’ flag
  • Mass assign ‘Homeroom’ teachers to the subjects they grade (using the mass assign tool) (Elem Grading>Setup>Mass Assign)
  • Manually assign ‘Special Area’ teachers to the subjects/grade levels they grade
  • Manually assign ‘Basic Skills’ teachers to the subjects/grade levels they grade

 Elementary Scheduling (To be done for each school using Elementary Scheduling)

  • Create schedules using the schedule creation feature in Elementary Grading (Elem Grading>Schedule)
  • Manually update sections in the scheduling module to reflect the correct teachers for each course
  • Manually update sections in the scheduling module to reflect the correct periods for each section (optional)
  • Review NCES SCED Code information for each course/section and update as needed
  • Manually update student schedules for students who do not follow the schedule for their homeroom

Gradebook (Must be done for each school using Gradebook)

  • Setup ‘Default’ and ‘Custom’ Gradebook Profiles (Gradebook>School Setup>School Profiles.)
  • Initialize teacher gradebooks (Gradebook>School Setup>Maintenance>Gradebook Maintenance.)
  • Push out ‘Default’ and ‘Custom’ Gradebook Profiles (Gradebook>School Setup>Maintenance>Profile Maintenance.)
  • Activate Gradebook Module for teachers (Gradebook>School Setup>Maintenance>Gradebook Maintenance.)
  • NEW | 5/24/23 - We added warnings to the Gradebook>School Setup>Maintenance>Gradebook Status screen. The warnings for the following scenarios: school profile exists in 'last year' but not 'this year' OR the school profile is not set to propagate in current year but was set to propagate last year.

Students

Parent Module

  • Create and Setup Parent Portal accounts for new parents (Parent Access>Setup>Users>Import and/or Autocreate)
  • Update existing Parent accounts with new students (Parent Access>Setup>Users)
  • Run Parent Account Cleanup Tools (Parent Access>Maintenance, please review tools carefully)
  • Activate Parent Portal (Parent Access>Setup>Settings>District Settings>General Settings)

Miscellaneous

  • Review and update teacher records (school assignments, homerooms, grade levels)
  • Create Logins for new teachers
  • Update Logins for teachers who have moved within the district
  • Inactivate Logins for teachers who have left the district
  • Update and review reports, letters, and exports
  • Reset User Flag values (optional)
