Uploading a Document to Multiple Students

How to Mass Upload one Document to a list of Students

This document explains how to take a group of students, and load the same document into all of their Student Data>Documents tabs.

Before you Begin:

Contact your Genesis Support to enable Document Management if this has not already been done.


You will need at least one Document Type in your Document Management > Setup > Types with its Usage set to "Student Data" see Document Types

Create a Template for Publish:

Create a new Template on the Document Management > Publish screen. At the bottom of this page, give your template a name and click Add:

You will be directed to the next screen.

Modify Template screen:

The first step here is to Browse for your file. Select the Storage Silo and click Upload File.

The file is now stored on the template; you can now click on a link to preview the document, or click the trash can icon to remove it from the template.

Select the Document Type to assign to all of these documents being imported.

Give the documents a Title (this will be the title you see when viewing the document under Student Data>Documents).

Switching to this next screen will let the user build a query to define a list of students to which the document will be imported.

In this example, the document will be imported to all Active students in one school:

Publish / Recall Documents:

The final screen of the wizard is where the documents are actually loaded into Student-Data.

It will display a list of all of the Students from your query. Above the list, click Publish the Documents to finalize.

To go back and modify the Template or your Query, you must click Recall this Published Document from Students, which will remove the documents from the students' Documents tab.
