The CDRSS Reporting screens within Genesis try to make the process of gathering and totaling the data required as easy as possible.
CDRSS Setup
The CDRSS Setup screen allows you to map Attendance Codes to CDRSS Reason and Disease codes. By mapping your attendance, this makes it easy for a nurse to update the students in mass. For instance, let’s take an Attendance Code of “Field Trip”. That code can be mapped to the CDRSS Reason code of “Non-Illness”. This helps when you have a class on a Field Trip and there are many students that need updating. The nurse can mass update all these students in one step.
To map the attendance, go to the "Nurses -> CDRSS Reporting -> CDRSS Setup" screen. This screen lists the absence codes in your district. For each attendance code, there are two dropdowns, one for CDRSS Reason and one for CDRSS Disease. All you have to do is select the reason and disease codes that you would like to map to the attendance and then hit Save. Once done, nurses are now able to mass update students on the Analyze Students Screen.
Another benefit of mapping the attendance codes is using Parent Attendance Notes. If parents are permitted to enter a diagnosis from a doctor with the CDRSS Disease code, users updating attendance on the "Attendance -> Notes" screen can click a button to automatically update the attendance based on the mappings. For instance, if you have a “Diagnosed with Covid” attendance code and it is mapped to the CDRSS Disease code of “COVID 19”, the user can automatically update the attendance to the mapping. This saves nurses time when entering in their CDRSS data.
In order to allow parents to submit a CDRSS Disease code in the Parent Attendance Note, the field "Allow CDRSS Disease Selection" must be checked on the Parents -> Setup -> Settings -> School Settings -> Attendance screen.Analyze Students
The Analyze Students screen is where nurses enter the data that will be used for reporting. The screen will default to the nearest Tuesday and will show students who have been absent since the previous Tuesday.
Each row shows the student information, their attendance code for the day and a dropdown for CDRSS Reason and for CDRSS Disease. The CDRSS Reason is only collected for Tuesdays, so it will only show if the attendance was taken on a Tuesday.
There are several ways to update the CDRSS dropdowns for the students. One way is to manually go through each student, select the appropriate codes and then hit the Save button.
If your district permits parents to enter CDRSS Disease codes when submitting Attendance Notes, this will also show on the screen. The nurse can hit the icon next to the disease code that the parent selected to automatically update the CDRSS Disease dropdown.
But there are several ways to do this in mass as well. By hitting the “Mass Update Students” button, nurses are presented with two (2) methods to post their codes in mass. The first way is to check the check box of students in the results. They can then select a reason and disease code that will be applied to all the checked students once the user clicks the “Update Students” button. The second way to is to switch the “Students” dropdown to “Students with a specific Attendance Code”. When using this method, you select an attendance code, reason and disease and then hit “Update Students” button. This will go through all of the students in the results and update any student with the select attendance code to the reason and disease codes that were also selected.
However, there is another way which is the easiest way to mass update the students in the results. If you have mapped your attendance code to CDRSS codes, then a button will appear called “Update based on Attendance”. When this is clicked, all students will be updated based on the mappings that have been setup. If you have a “Field Trip” attendance code mapped to the “Non-Illness” CDRSS Reason code and “Will not be reported” CDRSS Disease code, any student with that attendance will be updated appropriately. Or maybe you have a “Diagnosed with Covid” attendance that is mapped to the “COVID 19” CDRSS Reason and Disease codes, those student with that attendance will be updated as well. This will update any student that has an attendance that is mapped to the CDRSS codes. After hitting the “Update based on Attendance”, the nurse just has to hit the “Save” button to update the students.
While entering the codes for the students, there are several options in the search form that allow nurses to filter the results. For instance, they can select only students who are absent on Tuesday and another that will only show students that have not been given codes.
CDRSS Totals
Once the students have been updated, the CDRSS Totals screen allows the nurse to see the totals for each of the CDRSS Reason and CDRSS Disease codes.
For the CDRSS Reasons, only students who were absent on the reporting Tuesday are included in the totals.
For the CDRSS Diseases, all diseases since the last Tuesday are included in the totals.
