How do I add a new vaccine code?

You can add new codes via Nurses>Setup>Codes>Vaccines.

Is it possible to add, delete, or change the list of Medical Conditions?

Yes, the Medical Conditions codes are completely under your control. Go to the Nurses>Setup>Codes>Conditions screen.

Can the Screenings listed on the student's "Medical->Screenings" screen be combined into 'School Year' columns on the A45 form, so that if there are multiple screenings during a single School Year, they are combined into one column on the form?

Yes, go to the Nurses>Setup>Maintenance screen and locate the "On A45, combine all screenings for full year" parameter, and set it to "Yes".

Is it possible to mass enter screening data for a group of students?

Yes, go to the Nurses>Student List>Search Students screen, search for the students you wish to update, select them by checking in the checkboxes to the left of each record, then use the "Use Search Results for" drop down to select "Screenings". This will bring you to the Health Screening 'mass update screenings' screen with the selected students displayed.

Is it possible to mass enter Sports Physicals for a group of students?

Yes, go to the Nurses>Student List>Search Students screen, search for the students you wish to update, select them by checking in the checkboxes to the left of each record, then use the "Use Search Results for" drop down to select "Sports Physicals". This will bring you to the Health Screening 'mass update screenings' screen with the selected students displayed.

My nurses get an error when trying to print the A45. Why? What securable locations do they need to gain access?

If this occurs, make sure they have "Nurses.Studentlist," "studentdata.modifystudent.demographics.categories," and "studentdata.modifystudent.demographics.categories.a45" in their Role.

Why is no info pulling to the A45?

Please go to Nurses>Setup>Codes>Vaccines and/or Diseases & History and/or Conditions and/or Titers. Look at the "Type" column. It needs to be mapped here in order to pull to the A45.

Yes. Click here for the article.

Where do I enter TB info for the A45?

Student Data>ModifyStudent>Medical>History>Tests/Therapy.

Can we print the A45 en masse?

Yes. Go to Nurses>Student List>Student Search. Search for the students whose A45s you wish to print. Check the checkboxes for those students. There is a ‘master’ checkbox in the list header that will check all the checkboxes in the list. In the "Use Search Results for" checkbox at the bottom right of the screen, select "Print A45."

When <nurse> logs in, they see a different nurse as the default. Can we change this?

This can be changed on the user end via Nurses>Setup>User Preferences with the “Default Nurse for the Visits Screen” field.

We added a new nurse but they are not in the dropdown.

Verify that they're set up correctly in Staff>Staff>Modify Staff: they need a full name, to be checked off as a nurse, and they need a school assigned in Schools tab.

Make sure the staff ID is tied to their logon ID as well - and marked as “Represents User." You see this in Setup>Security>Users>Modify User in the "Teachers Assigned" area.

Why can't this nurse edit/close her visits?

For all of your school nurses, they should have a staff member checked off to represent them. Go to the Setup>Security> Users>Modify User screen, and check off the nurse that is actually the nurse in question. This will allow her to edit visits that have her as nurse.

Another way to get the nurses to always have the ability to edit visits would be on the Nurse>Setup>Maintenance screen. The field "Allow a school nurse to edit another nurse's visit(s)" is set to No. If this is set to Yes, then the nurse will have access to edit all visits.

All nurses should also go to the Nurses>Setup>User and set the "Default Nurse for the Visits Screen:" to themselves. If the nurses have multiple nurses tied to their user account (Setup>Security), with this filled out, the nurse will always default to themselves.

If you do the first option, the nurses will only have the ability edit their own visits. If you do the second option, then all nurses will be able to edit visits regardless of the nurse. The last suggestion is for ease of use of the nurses so they don't have to change the nurse dropdown to themselves.

Can we record visits for staff members?

Yes.  The ability to add staff visits has been added. In order to add a staff visit, users will need Add rights to the "nurses.visits.staff" securable location. When a user has add rights, a new tab will appear for Students or Staff at the top of the New Visit screen. Select Staff to search for a staff member to create the visit for.

The Search Visits screen will allow users to search for staff visits if a user is given inquiry rights to the "nurses.visits.staff" securable location.

A new screen in the Staff Module will show you the visits for an individual staff member. The securable location "staff.staff.modifyStaff.visits" is needed to view the screen.
