Adding a New Letter

Creating a new template

To create a new letter template, navigate to the Student Data>Letters>Setup screen. A letter template is defined by the following:

  • Code The code is a unique identifier that represents this individual letter template for the current school. The code can be up to 10 characters in length. The code will automatically be converted to uppercase.
  • Name A name describing what the student letter that this letter template will generate. Names are usually something like "Student Fines Letter" or "Welcome to School Letter".
  • Seq The order in which the letter will appear on this screen. For our sample letter, use TEST for the code and Student Fines for the name. The default value of 10 for the seq field can be left alone. To add a new letter template, fill the fields in at the bottom of the screen and click the add button. The information you supplied should now be visible in the list portion of the screen.

Below any existing letters, there is an "Add a Definition" area.  Enter the Letter Code, enter a name, and sequence, and click ADD.

After you have added it in, click on the Query to start updating which data tables and filters you'd like it to pull from.

Copy a template to another school

A template can be copied to another school by clicking on the icon that appears next to the name.

Deleting a letter template

If a letter template is not needed anymore, it can be deleted by clicking on the trash can icon. Genesis will not let you delete a letter template that has existing student letters stored in the archive.

Change the name or seq of a template

The name and the seq of a template can be changed by clicking on the text icon.
