Procedure to Open Grading
- Go to Elem Grading>Setup>Open/Close
- Click the "Open Grading" button to open it.
- In the "Grade Posting Is Open For..." column, select which Marking Period should be open for each grade level.
- In the "Current Marking Period For Printing" dropdown, select which Marking Period" should be currently open for report cards.
- Click "Save Changes."
Procedure to Close Grading
- Go to Elem Grading>Setup>Open/Close.
- Click the "Close Grading" button.
Procedure to Add a Subject
- Go to the Elem. Grading>Setup>Subjects screen.
- Locate the “Add” fields on the bottom and enter information to define a new Subject:
- Code – The code used here will become the “course code” in the Master Class Schedule. For clarity, it should clearly relate to the elementary subject.
- Description – Name of the Subject
- Regular Subject, Basic Skills, Special – Check one of these checkboxes to indicate the category the subject falls in.
- Seq – The sequence number places the subject in the list of subjects. The list is sorted by sequence number, not alphabetically.
- Click the Add button to add the new subject.
Procedure to Change the Category of a Subject (e.g. from Regular to Special)
- Go to the Elem. Grading>Setup>Subjects screen.
- Locate the subject you wish to update in the list. Use the “Type of Subject” drop down to select the new type: Regular Subject, Basic Skills, or Special.
- Scroll to the bottom and click the Save button.
Procedure to Specify Subjects Taught in Grade Levels
- Be sure your school is selected.
- Navigate to the Elem. Grading>Setup>School Subjects screen.
- Locate the grade level selector at the top of the list of subjects. Select a grade.
- Locate the “Add a new subject" to this school/grade control at the bottom of the screen:
- Select a Subject
- Indicate if it will be graded.
- Indicate if teachers, at Elementary Report Card grade reporting, will be able to select from a list of set comments for this subject.
- Pick a sequence number to place this subject in the list of subjects.
- Click the Add button to add the subject to the school/grade.
- Repeat Step 4 until all Subjects have been added to this school and grade level.
- Repeat Steps 3 to 5 to add subjects to additional grade levels for the selected school.
- Repeat the entire procedure for additional schools.
Procedure to Update Homeroom, Category and Grade Level Information for Teachers
- Go to the Elem. Grading>Setup>Teacher Subjects screen.
- Locate the teacher you want to update in the list at left. Click on that teacher’s name. This loads the right side of the screen with the teacher’s information.
- Update their Homeroom.
- Update their category: if they are not a “Regular” teacher, check either “Special Subject Teacher” or “Basic Skills Teacher” – or uncheck both if this person is a Regular HR teacher.
- Update the grade level of the student’s they teach (if relevant).
- Click Save.
- Repeat Steps 2 to 6 to fix additional teachers.
Procedure to Update the Subjects a Teacher Teaches by Grade Level
- Go to the Elem. Grading>Setup>Teacher Subjects screen.
- Locate the teacher you want to update in the list at left. Click on that teacher’s name. This loads the right side of the screen with the teacher’s information.
- Check the checkboxes for the subject the teacher teaches at each displayed grade level.
- Click Save.
- Repeat Steps 2 to 4 to fix additional teachers
Procedure to Mass Assign Subjects/Grade Levels to Regular Homeroom Teachers
- Go to the Elem. Grading>Setup>Teacher Subjects screen and verify that all homeroom teachers are correctly assigned their Homerooms and Grade Levels.
- Go to the Elem. Grading>Setup>Mass Assignscreen. There are 2 mass assign tools to choose from:
- Automatic Subject Assignments
- Copy Teacher Subjects from <Last School Year>
- If there are teachers listed who will benefit from the Mass Assign process, click Assign.
- A confirmation dialog is displayed. Click OK to proceed with the Mass Assign.
- The Mass Assign will quickly run to completion and a “completion” dialog is displayed.
- Click OK to dismiss the dialog and complete the process
