There are various tools found on the Parent Access>Maintenance tab.
- Mass Email Parent Access Users - This feature allows you to mass email the users of Parent Access. Select the template for the email from the list and then hit create. The email will be automatically filled out and sent for you. IMPORTANT NOTE: If the letter contains a PARENT_PASSWORD macro, a new password will be generated and placed into the e-mail.
- Student Cleanup - This function will analyze all students attached to parent/student users. Students will be removed from accounts if the student is now attending a school with the "For Parents Module" unchecked.
- Parent/Student Portal Account Cleanup - This process will check Portal accounts for students matching below criteria. Based on selections below, students will be removed from Portal Accounts. Empty Portal accounts (ones with no students attached) will then be either disabled or deleted based on your selection.
- Mass enabled/disable accounts
- Delete parent Message Center messages
- Force users to change password
- Clear Parent Request Acknowledgments
- Auto set the Type of Logon field on the Parent Logonid -
For each parent logon
For each student mapped to the logon
If the Parent Logon (email address) matches an email address on the guardian 1 contact; user field 'Type of logon' is set to Guardian. Student 'Relationship' is set to Guardian 1.
If the Parent Logon (email address) matches an email address on the guardian 2 contact; user field 'Type of logon' is set to Guardian. Student 'Relationship' is set to Guardian 2.
If the Parent Logon (email address) matches an email address on the student contact; user field 'Type of logon' is set to Student. - Auto set the Contact Management Permissions for your new contacts - WARNING: This will reset permissions that may have been manually set on parent accounts.
If a contact is a Guardian 1 and they live in same residence as Guardian 2 3 OR 4, the contact will be given rights to all of the students contacts.
If a contact is a Guardian 2 3 OR 4 and they live in same residence as Guardian 1, the contact will be given rights to all of the students contacts.
If a contact is a Guardian 1 and they do not live in same residence as Guardian 2 3 OR 4, the contact will be given rights to all of the students contacts except Guardian 2 3 OR 4.
If a contact is a Guardian 2 3 OR 4 and they do not live in same residence as Guardian 1, the contact will only be allowed to view and edit the Guardian 2 3 OR 4 contact.
If a contact is anything but Guardian 1 or Guardian 2 3 OR 4, the contact will be ignored by this routine. - Mass set the Contact Management Permissions for all contacts of one type
- Enable Alerts for Guardians - WARNING: This will enable notifications that may have been manually disabled on parent accounts.
- Create email address for student contact - This will check each student record to make sure that the student contact card contains an email address that is the same as the logon
for the Student Portal User that represents the student. If it does not exists this process will create the email as students primary email. This process will only look at Portal users marked with 'Type of logon' set to STUDENT.
