Daily Medications Screen

The Daily Medications screen has two primary functions:

  • Display, by default, a list of students who are scheduled to come to the nurse's office, today, to receive a medication
  • Record the dispensing of a medication, with all details and vital signs.

In addition, it has the following secondary functions:

  • Searches for students who have/have not received medications - Somewhat of a medication log
  • Search for students who are receiving 'as needed' medications

Default Operation

When this screen is first brought up it displays a list of students scheduled to receive medications "today", no medication marked only as "As Needed", without any daily schedule, is displayed.

Available Actions

There are three "icon" buttons for each row:

 - Dispense the Medication (See below, Dispensing Medications)

 - Edit the Medication - That is, edit the details of the prescription

 - Delete the Medication - That is, delete the prescription itself.  This is the only screen where a Medication can actually be deleted.


Searching for Students with As Needed Medications

There is a "Include As Needed Meds" search parameter with three options:

  • No - No purely "As Needed" medications will be included in the search
  • Yes - All purely "As Needed" medications (i.e. prescriptions) currently in force will be included in the search
  • Only As Needed - The search will list only medications which can be given on an "As Needed" basis, and it will not list any medication that is not marked as dispensed on an "As Needed" basis.

To change the current search, select your desired setting for the "Include As Needed Meds" parameter and click "Search".

Dispensing a Medication

A Medication can be 'dispensed' - that is, a "Dispensed Med" record created, by clicking its icon.  This brings up a "Dispense Medication" chart:

The chart lists all scheduled times to dispense this medication on the selected date, plus, if the Medication is marked as "As Needed" there will be a field without a time:

Until you click the "Add" button for a Medication, no "Dispense Medication" record exists for it.


Recording the Dispensing of a Medication

Fill in as much of the vital signs chart for a Medication as you wish, select "Yes" or "No" from the "Disp" drop down, optionally select a Reason code, and click the Add button.   Only clicking the "Add" button records the actual dispensation of the Medication.

A "Dispense Medication" record can record the dispensing of a Medication, or it can record the failure to dispense a scheduled Medication.

To indicate that a student received a scheduled Medication, do the following:

  • Locate the Medication record on the Nurse->Medications->Daily Medications screen
  • Click the  "Dispense Medication" icon for it.
  • Fill in the Dosage field if it is not automatically filled from the Medication record.
  • Fill in as many of the vitals as available:
  • Leave the "Disp" drop down set to "Yes".
  • Optionally select a Reason Code indicating why the student did not receive the medication.
  • Click the "Add" button

Once the Add button is clicked, the Dispense popup is dismissed and the Medication time is shown in green font on the Daily Medications screen:


Recording 'Failure to Dispense a Scheduled Medication'

To indicate that a student did not receive a scheduled Medication, do the following:

  • Locate the Medication record on the Nurse->Medications->Daily Medications screen
  • Click the  "Dispense Medication" icon for it.
  • Select "No" from the 'Disp' drop down
  • Optionally select a Reason Code indicating why the student did not receive the medication.
  • Click the "Add" button

Medications where the "Disp" drop down was set to "No" appear in red font on the Daily Medications screen:
