Advance Check-In
There is an "Advance Check-In facility under Turnstile->Setup->Advance Check-In. This has two functions:
- Fully create a future event for a student, complete with a Check-In time.
- Schedule a future event for a student on a particular date, but without the Check-In time.
In the first case, a fully configured future event, the student will see a "Check-Out" button if they scan "in" for the Event on the scheduled date. In the second case, where a time has NOT been pre-entered, the student sees a "Confirm Arrival" button - they are confirming that they are attending. For example, if they have been scheduled for a tutoring session.
Configuring Advance Check-In
The Advance Check-In screen has three sections:
- Identify the student or student to be checked-in.
- Select the Turnstile Event, the date and time of check-in and optionally add a note.
- Configure a pass to be printed either immediately or at some later date.
Students can be identified by being ona list, by specifying their nae or student id.
The Event ust be selected and a date specified; the time is optional and, as described below, controls the actual behavior of Turnstile on the selected date.
Pass information can be specified:
- The time for the pass (it does not inherit the time from the event time field)
- The location
- The reason, selected from a Codes table of reasons.
- If the "Generate Pass" checkbox is checked, the pass is displayed immediately so it can be printed. If it is not checked, the passes are configured and added to each student's Passes screen. They are available for later printing.
Advance Check-In with a Time
When a time is specified along with the date, the student is fully checked-in to that event. If they try to scan into the selected event on the specified date, they see a "Check-Out" button:
Advance Check-In without a Time
This is used when scheduling a student for some future event, such as a tutoring session. The student is NOT fully checked-in. When they arrive at the event, and scan in, they see a "Confirm Arrival" button, rather than "Check-In":
Creating a Turnstile Check-In for a Prior Date
The date of an existing Turnstile Check-In cannot be altered. You can create a Turnstile Check-In for a prior date by selecting a prior date when you use "Advance Check-In".
On the Turnstile->Setup->Advance Checkin screen, select the students you wish to create the Check-In for and then select a prior date in the "Date of Check In" field:
You can only specify the time of the Check-In here (and entering even the entry time is optional). To enter the Exit time, or edit the entry time, please edit the time via the Turnstile->Event Tracking->Search Events screen (see below).
Updating Entry & Exit Times on Existing Check-Ins
Entry and exit times can be updated, with proper permissions, via the Turnstile->Event Tracking->Search Events screen:
Updating Exit Times
Empty exit times can be updated directly via the empty textfields in the "Exit" column on the Turnstile->Event Tracking->Search Events screen. Simply enter the time, scroll to the bottom of the list and click Save. Note that the times will not be updated if you do not click Save.
Updating Arrival Times and Existing Exit Times
To update times in the Arrival column or existing times in the Exit column on the Turnstile->Event Tracking->Search Events screen., click the "Edit Times" button at upper right. If you do not see this button, you do not have permission to edit the times (see your local system administrator for help). Access to this capability is controlled by the "turnstile.eventtracking.edittimes" Securable Location.
When you click the "Edit Times" button, all time fields open up for editing:
You can now move your cursor into any time field and update the time. One you are done adjusting times, scroll to the bottom and click save: your changes will not be permanent unless you click save.
Excluding Students
Students can be excluded from an event and not allowed to check-in, via settings in the "Search Settings" section on the Turnstile's Edit Turnstile screen (Turnstile->Setup->Turnstile Templates->Edit Turnstile):
There are three fields that control which students are allowed to check-in to the event and which are excluded. These are:
- "Students with Reservations": Only allow students in this list to check in
- "Specifically Excluded Students": DO NOT allow students in this list to check in
- "Mass Excluded Students": DO allow students with this User Flag to check in
When an excluded student attempts to scan in, a "Not Permitted" sign is shown instead of a check-in/check-out button:
The "Not Permitted" sign is not clickable. The student cannot be checked-in.
"Students with Reservations"
A student list can be used to identify students who are allowed to check-in. These students "have reservations". All students NOT on the list will be excluded.
Specifically Excluded Students
A student list can also be used to identify students who are NOT allowed to check-in. These students are specifically excluded. All students NOT on the list will be allowed to check-in.
Mass Excluded Students
A user flag can be used to exclude students. If a user flag is selected, any student with that User Flag set to "true" or "checked" will be EXCLUDED. Students with the User Flag set to "false" or "unchecked" will be ALLOWED to check-in.
