Running a "Trial Run" of Honor Rolls

On the Grading>Honor Rolls>User Defined screen, you can always click on the "Run Trial Run" button before running the actual Honor Roll.

That will allow you to see which students MAY make the Honor Roll.

You can click directly on the link in the "#in Trial Data" column to review students.

You can then make changes etc before clicking "Run Honor Roll."

Reviewing Students

On the Grading>Honor Rolls>User Defined screen, if you click directly on the link in the "# in Honor Roll" column (or the "# in Trial Data" column), you will see a screen with all the students who made the honor roll.


You can also hit the YES radio button on the "Show students that did not qualify" option.

That will then update the screen to show you students who did NOT make it on this honor roll WITH the reason why:

Other options on this screen:

  • Export results to EXCEL
  • Create a student list based on results
  • Re-run the trial
  • Purge Results

Removing a Course From the Honor Roll

If after you review the results, you see that a course was included when it should have been excluded, you can update the curriculum file, run grade maintenance, and then re-run your honor rolls to get the change.

Steps:

  1. Pull up the course via Scheduling>Curriculum.  Click on the course code to get to the MODIFY SCREEN.
  2. Scroll to the "Grading / Transcript Related" area.
  3. There is an "Include in Honor Roll" option. Check that off to include this course in the honor roll. Uncheck it to exclude this course from the honor roll:
  4. After you've made the change, go to Grading>GPA/Rank>Maintenance.

    Use this feature when changes have been made to the Course Weights or Alpha Grade values and the changes need to be applied to all grades.

    The following items are recalculated for each grade:
  • Credits
  • Quality points for GPA Calculations
  • Passing / Failing Grade
  • Earned / Attempted Credits
  • Semester and Final grades are recalculated.
  • Automatic Credit Loss from Attendance Failures. (See Grading -> Setup -> Att. Credit Loss)
  • Use in Honor Roll flag
  1. On this screen, click "ACCEPT" to run the maintenance. Optionally, you can select JUST the course code you updated in the "Only recalculate grades in selected Course in school year XXXX" dropdown first.  That way, you'll only recalc the course you updated.

  2. After you run maintenance, go back to Grading>Honor Rolls>User Defined and re-run your honor rolls.

Removing a Valid Grade from being Factored into Honor Rolls

If after you review the results, you see that a Valid Grade such as "WP" or something similar is preventing students from making the Honor Roll and you would like to remove it, you can do so via Grading>Setup>Valid Grades>Alpha Grades>Modify Grade.

On that screen, there is an "Effects Honor Roll?" field.

The options for this are:

  • INCLUDED - This grade is considered into any honor roll calculation.
  • IGNORED - This grade is completely ignored as if the student never took the course; in regards to the honor roll calculation. These are generally used for P, O and S grades.
  • RESTRICTED - Any honor roll will automatically exclude this student from the honor roll; if the student contains a grade with this option set.

Continuing with this example, if you want any "WP" grades a student may have to just not factor in at all - set the Valid Grade type to be "IGNORED." The system will just skip over the grade entirely.

You will need to run Grade Maintenance via Grading>GPA/Rank>Maintenance to update all student grades as well with this change. (See above.)

IF you are making changes to this Valid Grades screen - just make sure it is still aligned with your District Grading Policy.

Forcing a Valid Grade to Automatically Exclude Students from the Honor Roll

If after you review the results, you see that a Valid Grade should simply remove the student automatically, you will want to change the "Effects Honor Roll?" field to "RESTRICTED" for that Valid Grade type via Grading>Setup>Valid Grades>Alpha Grades>Modify Grade.

That means that the system will automatically remove a student should they have that grade in ANY course at all for the marking period.

You will need to run Grade Maintenance via Grading>GPA/Rank>Maintenance to update all students' grades as well with this change. (See above.)

IF you are making changes to this Valid Grades screen - just make sure it is still aligned with your District Grading Policy.
