Prescheduling Procedures
Navigate to the Next Year Scheduling>Process Control screen. This is the screen you use to push info from the current year to next year.
This screen is important for Next Year Scheduling, as well as for completing your summer rollover.
Each of these processes are only for the Current School that is selected at the top of the screen.
These processes must be run for every school in your district that will be doing grading or scheduling.
Different types of schools have different needs for scheduling.
NOTE: If you are unsure what is needed for your, please reach out to other admins at your school before doing this so you don't need to do extra work / remove any data en masse. You may also reach out to the Genesis Help Desk as well. |
You will need to click on the arrow to the right of the Process to run the tool and copy the info to the next year.
These are destructive updates. If they have been run already, they will overwrite the info that is already there and completely replace it if run again.
There is now a new "lock" icon to the right of each task. If you click this, the task will be locked.
Warning!
All of the COPY procedures DELETE the data in the next year for the current school before copying.
- Copy School Curriculum to Next Year
This will copy all of the courses defined in the current school year to next year.
Next year courses are maintained in this screen: Next Year Scheduling>Curriculum - Copy School Master Class Schedule to Next Year
This will copy all of the sections and subsections defined in the current school year to next year.
Next year sections and subsections are maintained in this screen: Next Year Scheduling>Sections - Copy Teacher Roster to Next Year
This will copy all of the teachers defined in the current school year to next year.
This copies both the district and school teacher records.
Next year teachers are maintained in this screen: Next Year Scheduling>Setup>Teachers - Copy Room List to Next Year
This will copy all of the rooms defined in the current school year to next year.
To maintenance the rooms for next year; change the school year at the top of the screen to next year; and navigate to this screen: Setup>Schools.(Parameters on desired school)>Rooms. - Copy Department List to Next Year
This will copy all of the departments defined in the current school year to next year.
To maintenance the departments for next year; change the school year at the top of the screen to next year; and navigate to this screen: Setup>Districts>Master District Parameters>Departments. - Set Next School, Next Grade
This will toggle the Students>Next School & Grade Screen. By default the screen is disabled. - Enable/Disable Student Course Requests
This will toggle the various screens in Genesis where users can make requests for courses for next year. By default these screen are disabled. - Copy Grade Levels to Next Year
Re-copies all District defined grade levels to next year. Then deletes and recopies the current school's grade levels to next year.
To maintenance the District Grade Levels for next year; change the school year at the top of the screen to next year; and navigate to this screen: Setup>Districts>Master District Parameters>Valid Grades.
To maintenance the School Grade Levels for next year; change the school year at the top of the screen to next year; and navigate to this screen: Setup>Schools>(Parameters on desired school)>Valid Grades. - Copy Print Periods to Next Year
Copies the Print Periods from the current year to next year.
To maintenance the print periods for next year; change the school year at the top of the screen to next year; navigate to this screen: Scheduling>Setup>Print Periods
NEW: Processes can now be locked by a system administrator. Locked processes are not able to be run again.
