Mass Update Student Requests Screen

From the Student Request tabs, you can update and review students' requests en masse.



1 - Next Year Scheduling>Student Requests>Mass Update Requests

  • ADD

Using this tab, you can select "Students within this List" (i.e. a student list you have created) or you can select "students assigned to grades" in step 1.

In step 2, you select a course to add as a REQUEST to the students you have selected above.  (Section is not required here, since it is a request, but you may add one if you'd like.)

Click NEXT to get to the next screen.  Click RESET to blank out your selections and start over.

After you click NEXT, you will be brought to the VERIFY screen.

You will see all students from your selection on the previous screen.

You now have the option to exclude specific students before clicking "Add Class Requests." Just check off the "Exclude" box to the left of the student name.

Click "Add Class Requests" to finish adding the course as a request to the students' schedules.

There is also a "Mass Add Requests based on Next School / Course Code" tool on this screen.

This tool will create a request for each course that has a next school and next course code defined in the 20XX-XX school curriculum. Requests will be created if the student has a next year assignment that matches the next school code.

This 'next course' field is found in the "Scheduling Related" area on the Curriculum file:

  • DELETE

Using this tab, you can select "Students within this List" (i.e. a student list you have created) or you can select "students assigned to grades" in step 1.

In step 2, you select a course to DELETE a REQUEST from the students you have selected above. (Section is not required here, since it is a request, but you may add one if you'd like.)

Click NEXT to get to the next screen.  Click RESET to blank out your selections and start over.

After you click NEXT, you will be brought to the VERIFY screen.

You will see all students from your selection on the previous screen.

You now have the option to exclude specific students before clicking "Delete." Just check off the "Exclude" box to the left of the student name.

Click "Delete" to finish removing the course as a request from the students' schedules.

  • CHANGE

With the Mass Change Requests wizard, you can select more than one change for students before clicking NEXT.

For step 1, select your list of students or the grade levels.

For step 2, select the criteria for the change and the course code.  

In the first dropdown, your options are: "If Student Has" and "If Student Does Not Have."

In the second and third dropdown, your options are: "And Student Has," "And Student Does Not Have," "Or Student Has," or "Or Student Does Not Have."

For step 3, select the action to take for students who qualify for your selections above.  Select the course code and select either "Added to Requests" or "Deleted From Request."

After you click NEXT, you will be brought to the VERIFY screen.

You will see all students from your selection on the previous screen and the criteria you selected.

You now have the option to exclude specific students before clicking "Add/Delete Class Requests" Just check off the "Exclude" box to the left of the student name.
 

Click "Add/Delete Class Requests" to finish updating requests for students' schedules.

  • TRACKING

On this screen, you will see a record of each action performed on the Mass Update Requests subtabs.



2 - Next Year Scheduling>Student Requests>Request Tallies

You can search by department and see request information such as Course Code, Credits, Total Students, Male Students, Female Students, Grade Levels, Spec Ed, Spec Ed Self Contained, Gifted/Talented, ESL, Class Size, Sections Needed (based on request total.)

If you click on any of the numbers, a new screen will appear below with students who have requested the course.  You can create a student list based on this information by clicking "Create List."

3 - Next Year Scheduling>Student Requests>Request Status

This screen allows you to review requests by counselor.  If you click the "+" next to each counselor, the screen will open up and display all the students attached to that counselor.  It will also display how many requests they have and what the credit total is.



4 - Next Year Scheduling>Student Requests>Counselor

This screen also allows you to review requests by counselor.

You can search by Counselor Name, Any or No Counselor, or Students Without a Counselor in the "Next Counselor" dropdown.

In the "Filter" dropdown, you can search by: Show All Students, Students with No Requests, More than X requests, Less than X requests, or Equal to X requests.  Fill in a numerical value in the "Credits" field to filter on as well.

In the "Requesting Course" dropdown, you can leave it as ANY to get all results available, or you can select specific course codes.

Clicking on the student ID link on this screen brings you to the Student Data>Modify Student>Next Year Requests>Current Requests screen.

6 - Next Year Scheduling>Student Requests>Letters

  • Letter Template

This screen allows you to enter the text of you letter.  Click here for the macros you can use in your request letter.

You must select a Document Type if you wish a Document to be created in Parents Module. Document Type must exist in Documents>Setup>Document Types and must be set to be "Visible in Parents Module" and visible by either "Guardian" or "Student Account".

Once set, you may send letters to the Parent Module by clicking into a letter run on the "View Letters" tab, checking off your letters, then hitting the "Release" button.

  • Generate Letters

This screen is where you will generate the letter.

Select a letter date.  You can then run it based on: Counselor, Student List, or Next Grade Level.  

You can also specify a sort order.  Click "Create" to generate the letter.

  • View Letters

Once a run has been successful, you will see it on the view letters screen.  

Click on the run - and then click "Release" if you want to send it to the parent portal.

7 - Next Year Scheduling>Student Requests>Parent Requests

This screen will create student requests from requests made by parents on the parents module.

Clicking "Convert to Student Requests" will convert request made by parents into actual student requests in the system.  

You can convert based on PRIORITY (1-4, or 0), Next Grade Level, and/or Subject Area.

If there are "unconverted" requests, click the "excel" and you can review the requests for students.
