How to Import District List of Streets into Genesis

Purpose


This article was created to aid in the process of importing the district's Street Map File. Before continuing, please be sure to read the following articles:

The Import Process

To create a Street Map in Genesis to be used with Registration, there are two possible files that you will be working with:


Street Map                    List of all street names within the district

Street Map School        List of all streets and their assigned school (by grade level)


You will either be importing the Street Map file only, or BOTH files. The Street Map School file is only used if the district wants Genesis to automatically select the student's enrolled school, based on their street address.


Basic steps: visit Core > Import in Genesis, download the template file, and import the completed template. See Using the Core>Import Screen for additional information.


Note: Before loading streets into Genesis for the first time, all student addresses must be set with the Override checkbox (street code of OVERRIDE). You may contact support to have this completed for you. 



Importing the Street Map file


Start by going to Core > Import tab...


Download the template file...

    - Select group: Setup

    - Select table: StreetMap*

    - Click Download template XLS

Template has two spreadsheets...

    - Template: used to populate with street data

    - Columns: used to reference information about each field


Populate the template with your street data. For a list of fields and what they mean, please visit Street Map Setup for further information. Here is a list of only the required fields and example values:

The template must be saved as an XLS or XLSX file. Return to the Core > Import screen after completing.


If you are uploading brand new streets, only check off Create new rows only; do not update existing...

If you are updating existing streets, only check off Update existing rows only; do not create...

 

Choose/Browse File for the saved template, then click Upload File to finish


A message will appear, indicating if the import was successful, and how many records were added or updated.


Verify the data appears correctly on the Setup > Districts > Streets tab in Genesis.


Note: The STREET_NAME field can be reused, as long as they are given a unique STREET_MAP_CODE




Importing the Street Map School file


Start by going to Core > Import tab...


Download the template file...

    - Select group: Setup

    - Select table: StreetMapSchool*

    - Click Download template XLS

Template has two spreadsheets...

    - Template: used to populate with street data

    - Columns: used to reference information about each field


Populate the template with your data. There are 4 key pieces of data that you need to fill out here:

STREET_MAP_CODEThe street code as defined in your Street Map file (Setup > Districts > Streets).
GRADE_LEVELGrade Level of the student being registered.
SCHOOL_CODEGenesis School code as seen on Setup > Schools. Controls where student will be enrolled when registered.


The template must be saved as an XLS or XLSX file. Return to the Core > Import screen after completing.

Note: Each STREET_MAP_CODE will need to be duplicated in the file, for each grade level in the district.


Note: All grade levels must be assigned, even if there is only one high school for example, in the district.
