Team and Club Calendars and Calendar Events
Every athletic team and every club automatically has its own Calendar. To create events on the team or club calendar, "Calendar Event Types" must be setup. Clubs can create events with "Club Event Types" and teams can create events with "Team Event Types".
Event Types for both clubs and teams are set up and maintained on the Calendar->District->Calendar Setup->Event Types screen. Event Types for teams can also be setup and maintained on the Athletics->Setup->Team Calendars screen; Event Types for clubs can also be setup and maintained on the School Clubs->Setup->Club Calendars screen.
Creating Team and Club Event Types
- To add a team or club event type, go to the Calendar->District->Calendar Setup->Event Types screen:
- This screen contains all of the "Event Types" defined in the system, as well as controls to add new Event Types and change the categorization and use of existing Event Types:
- Event Types checked for "Team" will be available to all athletic teams; Event Types checked for "Club" will be available to all clubs. Teams will not have access to any event NOT checked for Teams and clubs will NOT have access to any event not checked for Clubs.
- There are four types of Calendars currently available in Genesis, as this screen indicates. "Team" Calendars are automatically linked to sports teams and "Club" Calendars are automatically linked to school clubs. Each user further has a 'personal' Calendar, available on their WebDesk. The School and District Calendars are directly maintained via the Calendar module. For more information, view the Calendar articles in the Knowledge Base.
- To add a new Event Type, scroll to the bottom and locate the "Add Event Type" control:Enter a code and a description for the new Event Type. E.g. SATGAME Saturday Game. Click "Add Type"to add the new type:
- Once the new type appears in the list, you must set it up for how it will be used:
- The newly added Event Type is automatically checked for "School and District" Calendars: uncheck that first checkbox, then check either the 3rd checkbox from left for "team" Event Types, or the last checkbox on the right for "club" Event Types. Then click the "Save Types" button to save the changes.
- The new Event Type should now appear for club or team Calendars (or both, if you check box of the right two checkboxes).
Deleting Event Types
Event Types can only be deleted if they have not been used in the current school year to create a Calendar Event. The delete icon will not be available for Event Types that have been used for at least one Calendar Event.
- To delete an event type, go to the Calendar->District->Calendar Setup->Event Types screen and locate the Event Type you want to delete. E.g.
- The Event Type can only be deleted if the red 'delete' icon appears at the right side of the line. If the red delete icon appears, click it to remove the Event Type. When you click it, a confirmation dialog is displayed:
- Click OK to delete the Event Type and Cancel to keep it.
Editing the Description/Name of an Event Type
You can only edit the description of an Event Types if it has not yet been used in the current school year to create a Calendar Event. If you can edit the name, the Description field will be an open text field:
- To edit the description an event type, go to the Calendar->District->Calendar Setup->Event Types screen and locate the Event Type you want to edit . E.g.
- Enter the updated description into the text field, scroll to the bottom of the list and click the "Save Types" button.
- Note that Event Types with editable Description fields are the same ones that can be deleted.
Setting the Color Code for Event Types
You can update the color code for any Event Type. Every Event Type displays a color patch followed by an Edit button:
- To change the color code for an event type, go to the Calendar->District->Calendar Setup->Event Types screen and locate the Event Type you want to change. E.g.
- Click the Edit button. This brings up an array of color swatches:
- Click on the color swatch you wish to choose. E.g.
- The color swatch will now appear for the Event Type:
- Scroll to the bottom and click "Save Types": This screen requires you to save - it will not store the new color automatically.
Note that when you create a new Event Type, the initial color code is always white:
You can always change the color code once you have created a new Event Type.
