How to Mass Email a Specific Group of Users Through Parent Portal

You have a few different options to email parent access users in Genesis.

The two main options:

You can search via Parent Access>Setup>Users>Logon IDs. Once you get search results, you can click "Email all users found by search" without checking them off.

PLEASE NOTE: This is a new option - this will send to ALL accounts in your search results. You should verify the correct number of Logons appears in your search results before clicking the "Send Emails" button.

First Step: Create an Email Template

You will need to have a Parent Email Template created and ready to use before attempting to email users.

Please make sure you know which email template is good to go. It is up to the district to update their email templates each year, as needed.

You create/modify email templates via Parent Access>Setup>Email Templates.

Below are a few specific scenarios for emailing parent access users.

Searching and Emailing a STUDENT LIST

If you have student lists created, you will be able to choose it in the "Student List' dropdown on Parent Access>Setup>Users>Logon IDs.

OPTION 1

  1. Go to Parent Access>Setup>Users>Logon IDs.
  2. Select the STUDENT LIST in the "List" field.
  3. Click SEARCH.
  4. Once you have results, you can check off each users on the left.
  5. Click "EMAIL SELECTED USERS."
    •  PLEASE NOTE: This option was changed recently - and it will only send users checked off in the first page of results (which is the first 250 accounts.)
       So, if your student list has MORE than 250, you will only send out that first page of results
  6. A pop up will appear.
  7. Select the email template you want to send in the "Email Template" dropdown.
  8. Click "SEND EMAILS."

OPTION 2

  1. Go to Parent Access>Setup>Users>Logon IDs.
  2. Select the STUDENT LIST in the "List" field.
  3. Click SEARCH.
  4. Once you have results, you can click "Email all users found by search" without checking them off. This will send to ALL accounts in your search results.
    •  PLEASE NOTE: This is a new option. This will send to all accounts in your search results. You do not have to check them off - but make sure you want to send to ALL results before clicking. You should make sure to verify the correct number of Logons appears in your search results before clicking the "Send Emails" button.
  5. A pop up will appear:
  1. Select the email template you want to send in the "Email Template" dropdown.
  2. Click "SEND EMAILS."

Searching and Emailing Based on OTHER Params

You can search using any of the available params to get results. Options are: Parent Last Name, Parent First Name, Logon ID, Student Last Name, Student ID, Grade Level, School, User Type, Created AFTER/BEFORE (a date), Status (Enabled/Disabled), Active Directory.

For example, if you'd like to get results for RECENTLY created parent accounts, you an search with "Created After" selected and the date you created the accounts etc.

  2. Select one of the params on this screen to search by.
  3. Click "SEARCH."
  4. Once you have results, you can check off each users on the left.
  5. Click "EMAIL SELECTED USERS."

How to Check the Status of Your Emails

You can review the emails that were sent from Genesis via Core>Email. You can see if there are errors or failures, as well. For a long batch, the emails may take some time to go out.

If you do see any errors in the Log, you can enter a ticket with the Help Desk.

Additional Options Available with Search Results on This Screen

If you search via Parent Access>Setup>Users>Logon IDs and get results, you have additional options as well.

If you check off users, you can also:

  • Enable Selected Users
  • Disable Selected Users
  • Delete Selected Users
