Student Graduation Screen

Overview


Stating with the class of 2016, students will be required to demonstrate proficiency in English Language Arts and Mathematics in order to qualify for Graduation.

Proficiency will be determined by achieving the "cut" score from any one of the the following assessments.

ACT, Act Aspire, Accuplacer, ASVAB-AFQT, PARCC, PSAT, or SAT

The Graduation tab in Student Data (Student Data>Modify Student>Graduation) contains a list of all mapped assessments in Genesis that the Student has taken, a list of the students local credit requirements as well as some additional fields for graduation related information.

 

Tests, for which the student has achieved the "cut" sore, will be highlighted in GREEN.  You may recalculate this screen at any time by hitting the recalculate button.

Scores are also updated from the Scheduled Task, "Graduation Assessments".  

Students who meet the "cut" score for ELA and for MATH will have met their Graduation Assessment Requirement as indicated by the text below the test scores. 


The text will additionally tell you the students Graduation Pathway.


Additional Options and Override Options

In addition to meeting a cut score, a student may also receive a Portfolio Appeal for either ELA or Math. 


Checking off the "Received Portfolio Appeals for ELA" or "Received Portfolio Appeals for Math" will meet that respective subjects requirement.


This is also true with Met Alternate ELA Requirement Specified in IEP and Met Alternate Math Requirement Specified in IEP


There is one last means for having a student marked as having met the Assessment Requirement for Graduation. 

You may use the "Override Meets Math or ELA Requirements via:" fields which substitutes the need for keeping actual assessment scores in Genesis.

Pathways marked in this field will override any calculations Genesis would otherwise make when determining graduation requirements.

In addition to this screen, you can search for and report against the student table using the property "meetsELAGradRequirment", "meetsELAGradRequirment" or ""meetsGraduationAssessmentRequirments". 

These return a "Y" if the student has met graduation requirements for their Class Of.  "graduationPathwayELA" AND "graduationPathwaymATH" will return the pathway a student took towards graduation. 

The scores themselves are saved into the StudentGraduationAssessment table. 


You may also wish to explore the StudentGraduationInfo object.


How Student Graduation Requirements are Calculated


For each final grade in the student's transcript history:

1. Credits are summed from the course's Primary Subject code.

   a. If there are any credits left over, they are applied to the course's Secondary Subject code.

    b. If there are still credits left over, all remaining credits will be applied to the Subject Area that is flagged as 'Electives.'


2. If there is no subject area flagged as electives, one will be created (EL -Electives) and the credits will be applied to it.


To see the TOTAL credits earned for a subject for courses where the subject was marked as the Primary Subject, you can look to the 'Raw Total Earned for Primary Subject' column. This shows the credits earned prior to the credits being diverted to secondary or elective courses once a subject's required credits were met.


FAFSA Fields


Three new fields added to Student Data > Graduation tab: 

FAFSA Requirement - NJ Smart's FAFSA Completion Indicator field

Completed Requirement Signed On - Date of FAFSA completion or waiver

Completed Requirement Signed By - Completed or waived by name
The new waiver fields can be found on the StudentGraduationInfo object. These three fields can be manually set on this screen (ex: by a counselor) or collected by parents or students via Forms. Districts can also import data to the FAFSA Requirement. See FAFSA Import article for more information on that process.


For Parent Forms, 2 new Response Types  Waive FAFSA Requirement and Completed FAFSA Requirement have been added to the Form Questions. When parents answer YES to either of these questions, the 3 graduation fields will be populated accordingly. The "Signed by" field will populate with the name on the parent's account. 


The 3 options for the FAFSACompletionIndicator field in NJ Smart are:

  • – Completed the Free Application for Federal Student Aid (FAFSA) or the New Jersey Alternative Financial Aid Application.
  • – Provided a Waiver from parent or counselor exempting student from the financial aid application requirement under the law.
  • N – Student is in Grade 12 but will not be graduating

Completed and Waived can be set manually or by a parent form, as noted above.


To set a student to N, you would have to select a denial reason in the "Denied graduation due to" dropdown on the student's Graduation tab.  When that is selected, the N will pull automatically on the student's SID record.
