Reports that have NJ_ATTENDANCE_REGISTER as the source of data:
- Report 1003 - Attendance Totals Report
- Report 1025 - Attendance Register Summary
- Report 1201 - NJ Attendance Register
These reports uses monthly Registers to calculate totals. If your totals do not seem to be correct, make sure to calculate your registers on the Attendance>Register screen.
Verify End Date for School Year
District Calendar
Make sure that the end date for the district is correct. You can check the end date for the district by going to Calendar>District. If the end date is incorrect, click the underlined date link to go to Setup>Districts>Basic Parameters. Update the End Date for the district and click Modify.
Also check the district calendar to make sure that all snow days and emergency days have been noted. If you adjust the calendar with emergency closures, you will need to reconcile attendance for each school.
School Calendars
Make sure that the end date for each school is correct. You can check the end date for each school by going to Calendar >District for the school. If the end date is incorrect, click the underlined date link to go to Setup>School >School Parameters>Basic Parameters.
Update the End Date for the school and click Modify.
Again, you must update the end dates individually for each school in the district.
Reconcile Attendance
If the End Date for the District and Schools were incorrect and you made updates, you must reconcile attendance for each school in the district. To reconcile attendance, go to Calendar>Setup.
Choose the school from the drop-down and click Reconcile Attendance. You must reconcile attendance for each individual school – do not use the All Schools option (it will take a long time to run.)
If you did not have to make changes, you would not need to reconcile attendance.
Recalculate Attendance Register Totals
As noted below, some register reports will need to have the most updated attendance register information. Some districts may be running report 1201 each month - which does this recalculation.
If not, or if you want to be sure, you can recalculate your attendance registers all in one go via Attendance>Register, by checking off the months and clicking "Recalculate Selected Dates."
Register Reports
Each school in the district should be running Attendance Report 1201 – New Jersey Register Report each month.
This report updates the possible days, days present, and days absent for each month and keeps your totals accurate for the end of the year school register report.
If schools have not run this report each month or if you have adjusted the calendars, you should either re-run the registers for the affected months or use the register recalculation feature.
The register recalculation feature is found under Attendance>Register. You can use this screen to re-calculate register totals for a single months or for all months.
It is recommended that if you use this feature, you update the totals for all months for each school.
Reports for Year End Register Summary Report
Run the following reports after completing the steps above.
Report 1 – Attendance Totals Report – 1003
The Attendance Totals Report #1003 is located on the Attendance->Reports Screen.
Run the report for all schools (leave the "run for which school" field blank) and run the report for School Year.
Report 2 – Attendance Register Summary – 1025
The Annual NCLB Sub-Groups Report #1025 is located on the Attendance>Reports Screen. Run the report. This report is run for individual schools, not by district.
This report also allows you to print a detailed audit of the students who make up the totals for the various sub-groups.
Please note that when you report the numbers from reports 1003 and 1025, it is imperative that you round the numbers up or down in order to achieve the same total number of students for each category.
If the total numbers do not match for each category, you will receive an error when entering the information into the state website.
