Pearson Access Next Registration and Personal Needs Profile File Extracts

These are the Math, ELA, and Science Registration files for Pearson Access Next on the NJ>NJ Testing>NJSLA/PAN (Start Strong) tab.

Downloading the File


You can extract and download the NJSLA/PAN Registration files on this NJ>NJ Testing>NJSLA/PAN screen.

You can extract this info by clicking "Create a Student Registration / Personal Needs Profile file."

You can also extract this info by STUDENT LIST if you have one created. Select it in the "Using Student List" field first, and then click "Create a Student Registration / Personal Needs Profile file."

We Downloaded the File, but It is Blank. Why would that occur?


Your district has likely not updated the various state testing data fields for the new school year.  The district would need to update the students' fields (such as the TEST CODE per extract and per subject etc) for students before pulling the file. Otherwise, you will get a blank file because nothing is in place.


How Do We Update the State Testing Fields For Our Students?


You can do mass updates to various fields via Student Data>Mass Change with student lists and/or NJ>NJSmart>Tools.


One example of a tool on the NJ>NJSmart>Tools tab is X2 "Mass Update Assessment Test Info Fields" where you can update specific fields (like the TEST CODE, First HS Test Assessment, Session Name fields) per Test, per Subject by grade level and/or student list:

To review an individual student's State Testing data to see what is filled in and make changes, you can go to Student Data>Modify Student>State Tests. There are 2 subtabs when looking at an individual student - State Testing Data and NJSLA Accommodations.


How To Download a New NJSLA/PAN File

1. Navigate to the NJ>NJ Testing>NJSLA/PAN tab.

2. Click the "Create a Student Registration/Personal Needs Profile file" button:

4. After you select one of the test files above, the file will download automatically to your computer.  The screen will also be updated to reflect the most recent run of the file(s) so you can download it again from this screen as needed - you will see the time stamp and the user who ran it:

 

This collection does not include students who are exempt from testing. Therefore, your numbers will not match the NJSmart Assessment Registration collection.

 

Current Available Options that the district can check/uncheck before running the extract:

Automatically adjust student Test Codes to a Remote Test Code for all students students where applicable

Use the Remote Test Code value that contains an 'R' (e.g. MAR05 not MAT05) for students regardless of Test Location, except for students who will use Closed Captioned, Screen Reader or Paper test forms

***Use Resident District Tracking records for Responsible District and School Codes for non tuition students whose Resident School Code is not the same school they are attending
If a student has a Testing School of 000, use student's Home School for Testing and Responsible School.
Do NOT remove students based on NJ Reporting ResponsibilitiesNot recommended

Additional Info:

Responsible District and School Codes:

    • Responsible District and School Codes for OOD students (** and Tuition Students if option selected) will be determined by the Resident District Tracking of the student. MAKE SURE to check your file after creation and double check the Responsible District and School Codes of students. If there are values populated, it means the Responsible District and School Codes are different then the Testing District and School Codes. Now would be a good time to run report "21550 - Resident School Code Check" to check your Resident District Tracking Records
    • Responsible District and School Codes honor the Override Responsible/Accountable Site CDS field in student State Testing tab.
    • Responsible District and School Code fields are only populated in extract if they different than the Testing District and School Code.

Testing District and School Codes

    • Testing District and School Codes for students in Out-Of-District schools will be determined by the IEP and Tuition record of the student.
    • Testing District and School Codes for students In-District schools will be determined by the students school they are currently enrolled into.
    • Testing District and School Codes honor the Override Testing Site CDS field in student State Testing tab.

* If Student List is selected, only students belonging to that list will appear in extract.

** If Tuition/Resident Tracking is selected then extract will perform the following. If a student has a Tuition SENT record with a Tuition Code not equal 04 - Free: Child of staff, then extract will compare the students Resident District Tracking District and School codes to the District and School codes of the school the student is attending. If they are different, then the Resident District Tracking District and School codes will be used for the Responsible District and School Code fields in the extract.

*** Resident District Tracking codes will be used IF student's Resident District Tracking's County and District codes EQUAL their attending school's County and District code BUT the school codes do not match (and school code is not equal to 000). If selecting this option, now would be a good time to run report "21550 - Resident School Code Check" to check your Resident District Tracking Records.


NOTE ABOUT THE FILES
Once you run these files, they will have all the correct formatting for you to upload to Pearson. If you open up the file in Excel, the dates will appear in the wrong format. This is because Excel tries to 'fix' the data to a better view when it opens the file. Despite what you are seeing, the date fields in the saved file are formatted as YYYY-MM-DD. Do not save the file if you are viewing it in Excel. This will cause the correct format to be changed to what you see displayed (m/d/yyyy).
